Job Requirement
Responsibilities:
HR Assistance
- Maintaining and managing in all aspects of human resources departmental files:
- Providing Computer-generated reports as requested by the Resident Representatives
- Aiding in the recruitment process for vacant positions to include ad placement, interview Scheduling, applicant correspondence, and reference Checks.
- Preparing ,Proofreading, formatting and processing human resources documents such as letters ,memos, training calendars and materials, agendas, reports, statistical Charts ,labels, forms and examinations, rough drafts, recordings or verbal instruction
- Ensuring the field Operating employment manual (FOEM) is properly implemented by keeping the necessary track records
- Compiling and maintaining records, and preparing reports.
Administration
Provide administrative support which includes, but is not limited to the following:
- Assists with day to day administration of contracts between the PMC and external contractors services
- Maintaining and managing project documents and other departmental files
- Monitoring the administrative Office budget
- Processing bills for payment
- Maintaining Current staff listings and all contact information
- Responsible for keeping up with daily international communication: internet and E-mail transmission/reception, fax sending/receiving, and file maintenance. Handling incoming/ Outgoing mail Shipments
- Updating automated Office equipment and maintenance
Office Assistance
Provides Office assistance as required to include the following:
- Supervise and Coordinate logistics/Transport, Store and other support staff as shown on PMC structure
- Oversee Office equipment and supplies
- Take minutes during high level meetings, Staff meeting and hiring process
- Keep track record of outside Vendors when necessary and maintaining relationships with vendors
- Act as liaison with the leaser on building management issues
Qualifications:
- BA in Administrative Service Management degree form recognized University with diploma form Addis Ababa University School of Commercial
- Ten Years of experience related to Office management at senor level and preferably NGO environment.
- Ability to work on multiple tasks and work under pressure
- Capable of working independently with limited Supervision Self-Starter, takes initiative, detailĀ oriented
- Excellent oral and written Communication skills in English, Office Computer skills in English, Office Computer Skills and Software applications(IT know how plus)
- Good interpersonal communication skills previous experiences as Executive Secretary or Executive Assistance Position
