Information Management Officer

Duties:

  • Draft regular and emergency reports in consultation with project officers, program and operational sections as well as the planning / M&E section. Edits reports before submitting them to donors, ensuring that they satisfy appropriate UNICEF guidelines, are grammatically correct and clearly written and match funding utilization agreements and guidelines.
  • Produce monthly situation reports (sitrep) and donor updates related to humanitarian assistance and emergency responses in the country following the standard reporting scheme/format being revised. Collates, verifies and circulates as required, all UNICEF regional reports and sitreps and makes adequate follow-up of urgent points of action.
  • Maintains a good archive of all internal and external documents received, both hard & electronic copies. Organize the most relevant documents for the local intranet, EW/DP home page, and facilities access all UNICEF sections. Organizers an effective database of useful tools and information on emerging issues, references documents, publications, etc. in collaboration with the Communication Section
  • Participates in implementation and monitoring missions as required, gathering information to be included in reports. Participants in donor visitations to project sites and documents project site reports.
  • Participants in other report-writing functions and missions assigned by the Head of Office.
  • Assists in the formulation of plans of action in preparation and response to emergencies. Gathers information on best practices in emergency situations for the preparation of contingency plans. Monitors compliance of all sectors with emergency plans of action.
  • Identifies formal and informal sources of information. Collects, interprets and analyses all available data on the evolving emergency situation and its implications for the emergency operation. Keeps the effective flow of information and communication crucial for the planning and implementation of emergency measures. Identifies the availability of resources in emergency-prone areas
  • In the event of an emergency, promptly assists in implementing the initial operational tasks relating to emergency assistance. Immediately collects reliable information to verify the nature and extent of the emergency with staff, government officials, other UN agencies or local organizations and media.
  • Participates in the implementation of plans of action and work plans for emergency projects.
  • Undertakes field visits to emergency project areas, to assess local conditions and monitor project progress.
  • Monthly Field Operations and Emergency Situation reports.
  • Every other month, publish, with the guidance of the communication and Advocacy Section high quality, thematic Humanitarian situation reports.
  • Manage the Sections documents library and online resources.
  • Make constructive enhancements to results reporting and monitoring through the development of standard operating procedures, templates and Workflow processes.
  • Make decisions on the type and scope of documentation and supporting photographs, images, etc. to package convincing reports in line with UNICEF’s accountability standards.
  • Makes recommendations on the future directions in fundraising to enhance achievements of results for children and women.
  • Timely and thorough analysis is made to identify emergency-prone situations and contribute to early warning and enhancing emergency preparedness.
  • Emergency preparedness and response plans address gender issues that may be expected to intensify during emergencies.

Job Requirement:                       

Qualification:

Education: 

  • First-level University degree (BA) in one of the following fields is required: communication, information management, social science, or a relevant technical field.

Experience:

  • A minimum of one [1 year] of relevant professional experience in reporting, producing information products, or another relevant technical field.
  • Experience in emergencies is an asset.

Skills:

  • Fluency in English is required.
  • Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish) or a local language is an asset.
