Job Description

The Executive Secretary reports directly to the vice Commissioner and will be specifically tasked with the following responsibilities:

  • Prepare a work plan and regularly assess activities being undertaken
  • Schedule appointments and meetings for the Commissioner and other Executive staff as required
  • Reply to emails, calls and messages coming to the Commissioner’s Office
  • Passing on information from and to the Commissioner and taking notice of confidentiality
  • Maintain the Commissioner’s calendar and updating timely
  • Prepare reports and letters as requested
  • Welcome visitors and arranging meetings
  • Run miscellaneous errands for the Office
  • Maintain physical and computerized office records
  • Keep the Commissioner’s office neat and organized
  • Assist staff in planning and overseeing special events
  • Assist in preparing financial reports
  • Reserve conference rooms and equipment for in-office meetings and presentations.
  • Serve as liaison between the vice Commissioner’s Office and the Directorates

Job Requirements

Education and Experience

  • Diploma /TVET Level III / in Secretarial Science or Office Management
  • A minimum of 4 years of work experience in related field
  • Job Grade: IX
  • Required: 2
