Job Description

Economic Development Team
1. Provide Programme management Support to Economic Development team (20%):
• Support the Programme Team by liaising with HQ functional Departments (Accounts
team in the UK, Procurement Department, etc)
• Ensure new projects are set up and existing Project are managed on the system
including uploading reviews and ensure compliance with Smart Rules
• Contribute to managing contracts in a timely and effective manner
• Enter key docs and information into FCDO’s reporting systems
• Attend meetings related to programmes in EcDev, support in leading and report
against them
• Ensure required documents are provided on time for setting up of management
information on the applicable system.
• Support the Programme Team during annual review processes including providing
logistical support for 10%ers and other visitors

• Ensure that all reports are received from project implementers / partners on a
timely basis.

2. Provide Administrative Support to Economic Development team (20%):
• Help in organising visits/meeting/trainings/workshops (handling logistics, sending
out invitations and appointments, room booking, organising refreshments).
• Facilitate travel and flight arrangements for field trip as required
• Facilitate visa approvals and prepare business introduction letters for
experts/visitors/
• Provide administrative support to the Programme Team.
• Take note for programme meetings as required.
• Ensure that all programme events, consultants visits are on the calendar.
• Provide ad hoc support to the team as required.

3. Provide financial management support to Economic Development team (10%):
• Keeping up-to-date records of all financial expenditure for the Ethiopia Programme.
• Ensuring Payment Authorisation Form have been appropriately completed.
• Maintain a list of all payments against each project.
• Follow up on any outstanding invoices.
• Maintain the Programme Spreadsheet and provide information to the Programme
Team for financial returns.
• Make consultancy payments within the deadline.
• Ensure all disputed invoices are recorded.
• Follow up on suspense amounts and provide update on progress.
• Provide Support every month on forecasting and ensuring financial information is
updated on the system
• Ensure Payments are made within 5 days and programme forecasting are spent
within 5% variance every month
• Efficient use of Vault
• Ensure Audited reports are delivered timely and recorded on the system
• Ensure VfM and other FCDO procedures are followed when processing payments
Governance Team

Main Tasks: The jobholder will be required to support programme administration to a
selected team’s projects and advisers within FCDO Ethiopia Governance team.

4. Provide Financial Management Support (20%):
• Ensuring Payment Authorisation Form have been appropriately completed.
• Follow up on any outstanding invoices for programme.
• Amend PO’s monthly to match monthly invoicing as required.
OFFICIAL
• Support in maintaining the Programme Spreadsheet and provide information to the
Programme Team for financial returns.
• Follow up on suspense amounts and provide update on progress.
• Support in responding to quires/corporate response on financial management.

5. Provide Programme Management Support (20%):
• Provide support in following up & updating the respective programme quarterly
delivery plans
• Drafting project documentation e.g. completing the information on the Project
Header Sheet and Authority to Engage Form for employing Consultants.
• Support the Programme Team by liaising with HQ functional Departments (Accounts
team in the UK, Procurement Department, etc)
• Ensure required documents are provided on time for setting up of management
information on ARIES.
• Ensure all necessary information relating to Programme Management are promptly
Vaulted.
• Provide support to specific tasks to PO’s, DPM and Team Leader/Adviser
Provide Administrative Support (10%)
• Facilitating VISA, accommodation, transport, field visit, meetings
• Facilitate in arranging inductions, security briefing for visitors for 10%ers
• Provide support on document publications (AR’s, Logframes, PCR’s …)
• Take note of the entire programme meeting.
• Ensure that all programme events, consultants visits are on the calendar.
• Provide ad hoc support to the team as required.
• Assist on logistics/virtual meeting for GT away days
• Update GT leave tracker (annual leave and official travels are recorded) and followup it is updated frequently
